IMPORTANT: THIS POLICY AND YOUR MEDICAL RECORDS ARE TWO DIFFERENT THINGS

This Privacy Policy covers information collected through our website and our online and text message communications.

Protected health information created or maintained as part of your dental treatment is governed separately by the federal Health Insurance Portability and Accountability Act (HIPAA) and by our Notice of Privacy Practices, which is provided to you at your first appointment and is available at our office on request.

  • Device and browser information: including IP address, device type, operating system, browser type, and mobile advertising identifiers such as Apple IDFA or Android Advertising ID.
  • Usage data: information about how you interact with our website, including pages visited, forms completed, and time spent on the site.
  • Payment information: payment card details and billing address when you pay for services. Card payments are processed by our payment provider and we do not store full card numbers on our systems.
  • Third party data: additional information we may receive from trusted third parties, such as insurance eligibility responses or referral information, where you have consented or where the exchange is permitted by law.

  • Sharing: We do not share your mobile number or your SMS consent information with third parties for their own marketing purposes. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes.
  • Carriers: Carriers are not liable for delayed or undelivered messages.

Your Choices and Rights

Kansas does not currently have a comprehensive consumer data privacy statute. Regardless, we extend the following choices to everyone who contacts us:

  • Access and correction: You may request access to the personal information we hold about you and ask us to correct anything that is inaccurate. Requests relating to your dental records are handled under HIPAA and our Notice of Privacy Practices.
  • Deletion: You may request deletion of personal information collected through our website. Please note that dental treatment records must be retained for the period required by Kansas law and by HIPAA, and cannot be deleted on request.
  • Marketing opt out: You may opt out of marketing emails using the unsubscribe link in any message, opt out of text messages by replying STOP, or contact our office directly.
  • Cookies: You may control cookies through your browser settings as described above.
  • Do not call: Kansas residents may register with the Kansas No-Call Act list and the National Do Not Call Registry.

Children’s Privacy

NOTE FOR PARENTS AND GUARDIANS

Mur-Len Family Dentistry is a family dental practice and we treat children as patients.

Information about a child patient is provided to us by a parent or legal guardian, either in our office or by phone, and is treated as protected health information under HIPAA.

Our website is not directed at children, and we do not knowingly collect personal information online directly from a child under 13 without verifiable parental consent, in accordance with the federal Children’s Online Privacy Protection Act (COPPA). If you believe a child has provided us with information online, please contact our office and we will delete it.

Data Retention

We retain personal information only for as long as necessary to provide our services, to comply with our legal, regulatory, and professional obligations, to resolve disputes, and to enforce our agreements. Dental records are retained for the period required under Kansas law and applicable professional standards. Once information is no longer required, it is securely deleted or destroyed.

Data Security

We implement reasonable administrative, technical, and physical safeguards designed to protect your personal information against unauthorised access, use, alteration, or disclosure. Protected health information is safeguarded in accordance with the HIPAA Security Rule. No method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

In the event of a breach of security involving personal information, we will notify affected individuals as required by the Kansas data breach notification statute (K.S.A. 50-7a01 et seq.) and, where applicable, by the HIPAA Breach Notification Rule.

Data Transfers

Some of our service providers may process information outside the State of Kansas or outside the United States. Where information is transferred internationally, we take steps to ensure appropriate safeguards are in place and that the transfer complies with applicable law.
